OPERATIONS SUPERVISOR
Full time position in the Oak Tree Lodge | Pay range: $29.00 -$35.00 per hour. Job Description
Responsible To : Director of Assisted Living
Summary of Job:
Responsible for assisting with planning, organizing, and facilitating non-Clinical operations and transitions to and from the Assisted Living Community and resident care. Under the direction of the Director of Assisted Living, the Operations Supervisor will also supervise non-Clinical staff and coordinate with all members of the team to assure quality. Will establish and maintain an effective working relationship with all Assisted Living staff, contracted workers, families and other and other departments.
Will have oversight of overall daily operations in Assisted Living in collaboration with the Clinical Supervisor in the absence of the Director.
Responsibilities:
- Attends Continuity of Care meetings weekly, monitoring current and upcoming vacancies, and internal needs for level of care changes.
- Participates in Care Plan meetings regarding Assisted Living residents or prospective Assisted Living residents.
- Acts as a liaison between residents/families and medical professionals to present needs for the appropriate care to be provided.
- Facilitates the conduction of and evaluation of Oak Tree Lodge Fire and Disaster Drills.
- Responsible for timely content updates of Resident Handbook.
- In collaboration with Directors of Assisted Living and Admissions facilitates the processing of Emergency Information, Advanced Health Care Directives, POLST and DNR documents for Assisted Living residents and keep updated.
- Input and updates of Resident change of information into Current information management system (PCC).
- Assist residents with the Advocacy Program.
- Facilitate and present Safety topic to all staff at the monthly staff meeting.
- Attend Safety committee meetings.
- Oversight of LIFE ENRICHMENT to check (eyewashes, fire extinguishers, walkie-talkies and report check dates)
- Facilitate completion of quarterly safety inspections
- Oversight of LVNs, Med Techs and Resident Assistants in the absence of the Clinical Supervisor and director.
- Oversight of Life Enrichment team in the absence of the Life Enrichment Coordinator.
- Complete performance appraisal for Life Enrichment Coordinator
- Coordinate on-boarding process for AL new employees along with Admin. Asst.
- Enroll staff members into Relias coursework
- Provide new staff with orientation documentation.
- Timesheets- approve requested time off, approve time sheet corrections, and approve time sheets for Assisted Living staff as needed.
- Add the appropriate cost centers, schedulable skills and schedulable hours to new employees on Payroll App as needed
- Be the weekend on-call manager alternating with Clinical Supervisor and available on-call after hours daily to support AL team needs.
- Assists with all COVID-19 related activities including testing and shipping out specimens
- Follow up on all incidents and accidents involving staff and residents and facilitate the timely completion and submission of appropriate paperwork.
- Follow up on Housekeeping and Maintenance requests
- Participates in all staff meetings and other meetings as deemed necessary.
- Completes and attends mandatory in-services and training sessions
- Practices safe work habits
- Other duties as assigned
Qualifications:
- Experience working with seniors in a long-term care setting
- Degree in Social work, health care administration strongly preferred.
- Ability to remain calm and display of appropriate emotional intelligence in all work situations
- Strong leadership and managerial skills
- Strong and effective written and verbal communication skills with fluency in Microsoft Office required.
- Knowledge of Microsoft Excel strongly preferred.
- Ability to work effectively and harmoniously with residents and staff.








Jay Labinger is a Gardens resident, he was born and raised in Los Angeles, CA. Jay received his Bachelor of Science in Chemistry from Harvey Mudd College. He attended Harvard University where he earned a Ph.D. He was an Assistant Professor of Chemistry at the University of Notre Dame. His career has included positions with Occidental Research Corporation & Atlantic Richfield. He is the Administrator of Beckman Institute at the California Institute of Technology as well as a Faculty Associate in the Chemistry Department. He enjoys reading, playing the piano, tennis and traveling. He has published books on the history of chemistry, sociology of science and literature & science. Here at the Gardens, Jay is part of the Conservation & Sustainability Committee the Green Fund as well as many other groups through the Gardens Club.
Jane Hurd is a Gardens resident, she was born & raised in a small town in Arkansas. After she received her BA from the University of Arkansas she moved to California and taught seventh grade English in Porterville CA. After two years she moved to Los Angeles and worked for the Department of Health Services and pursued a master’s degree in public administration from USC. She served as CEO for two Los Angeles area hospitals. She continues to consult as an executive coach for CEOs of healthcare companies. She has served on several boards including Mutual of America Insurance Company, YMCA of Metropolitan LA, LA Visiting Nurses Association and Inland Empire Girl Scouts. Jane is an award-winning author and plays several musical instruments. Here at the Gardens, Jane is part of the newly formed Bequest Committee, as well as many other groups through the Gardens Club.
